VanillaPM 1.0 — production-ready

The line. The full PMBOK 8th-edition lifecycle, an ERM finance-to-payroll suite, AI assistance, a governed Knowledge Base, and a seven-language Learning Centre — hardened, load-tested, and shipped as a stable, public 1.0. From here, development follows real user demand.

  • Start with a sample — new accounts can open a fully-built example project, the Coral Ridge Resort (a 220-room hotel build with a real WBS, schedule, budget, risks and stakeholders), and explore every feature on real data before creating their own organisation.
  • Talk to us — a rebuilt contact channel: every message now reaches us directly and you get an acknowledgement, with a "Report a bug" shortcut in the app that captures the page and browser context for you.
  • Cookie notice — a plain, dismissible notice confirming VanillaPM uses only essential cookies: no tracking, no advertising, no third-party analytics.
Improved
  • Translations marked beta — the six non-English languages are machine-assisted drafts under native review, now labelled honestly so it's clear English is the source of truth.
  • Search-engine ready — the sitemap now lists the whole Learn PMP course (every lesson page), and the site ships a crisp high-resolution icon and logo for search results.
Fixed
  • The brand logo was invisible in dark mode on the sign-in and registration pages — corrected.
  • Opening the finance tab on a brand-new organisation (one without a chart of accounts yet) could error — it now shows an empty finance view cleanly.

Learn, localise & the full ERM suite

VanillaPM becomes a teaching platform and a multi-entity one: a Learning Centre with a free PMP course, an interface that speaks seven languages, and a complete finance-to-payroll suite built on the workforce backbone.

New
  • Learning Centre — a single portal for learning VanillaPM, opening with a free, full Learn PMP course that walks all 26 tasks of the 2026 PMP Exam Content Outline through one real project. More tracks (documentation, Finance, HR) follow.
  • PMP Reps — a free, no-login spaced-repetition game for memorising the PMBOK 8th-edition ITTO, with a coach, a glossary, streaks, XP and levels; signed-in progress syncs across your devices.
  • Seven languages — the interface, the Learn PMP course and the game now render in English, Bengali, Arabic, Spanish, French, Russian and Chinese, with the locale auto-selected from your country. Core PMBOK terms stay in English by design.
  • Finance, HR & payroll suite — a full ERM build-out on the workforce backbone: a chart of accounts and double-entry ledger, budgets and grants, procure-to-pay, HR records, and payroll — sized for donor-funded and multi-entity organisations.
  • Employee engagement surveys — anonymous, tokenised employee-voice surveys with k-anonymity and a configurable cadence, so leaders can read the room without exposing individuals.

  • Full-width marketing — the public site runs edge-to-edge for a more modern, spacious feel, while reading text keeps a comfortable measure.
  • Members ↔ staffing, reconciled — every member shows a staffing status, and one click assigns a member as staff, closing the gap between the project roster and the workforce backbone.
  • Rich-text stakeholder & interaction logs — stakeholder summaries and interaction notes now take formatted text, with a dependency-free sanitiser keeping them safe.
  • Governance decision & escalation log — a governed record of who decided what, when and why, tying decisions back to the project's governance framework.
Fixed
  • The footer logo was invisible in dark mode and the wordmark had a stray gap — both corrected.
  • The marketing top bar could overflow on narrow phones, pushing content off-screen — the language and theme controls now move into the mobile menu.

The full lifecycle — plus workforce, AI & a knowledge library

A run of releases takes VanillaPM from a strong planning tool to an end-to-end platform: the project now runs Initiating → Closing, with quantitative analysis, an organisation & workforce backbone, AI assistance, and a governed knowledge library.

  • Organisation knowledge library — org-shared policies, procedures and guides, with a document editor that does decision-tree diagrams, tickable checklists and internal links (with backlinks).
  • Organisation & workforce backbone — an org-unit structure, staff directory, and effort allocation that becomes the one capacity truth every schedule and what-if scenario reads.
  • AI Assist & Console — bring-your-own-key document drafting grounded in your project's data (never invented facts), and a conversational assistant that reads your project with your permissions and proposes changes for you to approve.
  • Quantitative analysis — Earned Value (CPI/SPI), Earned Schedule, three-point/PERT estimation, Monte Carlo P50/P80 dates, schedule compression, and cost-benefit analysis (NPV/ROI/payback).
  • Guided PMBOK-8 process — an ITTO-guided worksheet across every stage, governed Assumption Log and Risk Register, integrated change control, and deliverable acceptance (Validate Scope).
  • Closing — a closeout workflow with lessons learned, a final report, and a JSON/Excel archive — projects can now formally end.
  • Sprints & agile — a sprint model with Kanban, velocity and burndown, for adaptive and hybrid delivery alongside the predictive spine.

  • Governed documents everywhere — the charter and every management plan (scope, resource, governance, schedule, financial, risk, comms, quality) are living, versioned, approvable documents with PDF/Word export and full-text search.
  • Capability-based access — roles are scoped to org units, so multi-country and multi-entity organisations keep data properly separated.
  • Multi-currency — a frozen FX snapshot per project plus fiscal quarter/year breakdowns.

  • Numerous reliability fixes across scheduling, the document editor, and the AI drafting pipeline as the platform hardened toward the full lifecycle.

Knowledge Base & the Project Charter

The biggest release yet: a governed document backbone, with the Project Charter rebuilt on it as a rich, versioned, approvable document.

  • Project Charter editor — a block editor with numbered required sections, tables, images, a completion meter, and "generate from project data".
  • Approval workflow — submit → approve / reject with a sponsor, an edit-lock once approved, and an append-only audit trail.
  • PDF export — download a faithful charter PDF, cover page and all.
  • Version history — every save is a restorable version; a Knowledge Base tab lists the charter alongside your uploaded files.
Improved
  • Planning suite — a Scope Management Plan, Requirements traceability (linked to WBS and tasks), and WBS drag-reorder with CSV/Markdown export.
  • Sponsors are now real organisation members, not free text.
Fixed
  • The mobile menu on the marketing site now opens correctly.
  • The charter editor toolbar stays pinned while scrolling long documents.

VanillaPM went live, and every action is now authorised by a capability-based permission system.

  • Members whose accounts predated the new permissions could be locked out — now backfilled automatically.

The four foundations that turn a task list into a managed schedule.

  • Critical-path scheduling — task dependencies (FS/FF/SS/SF + lag), a CPM engine, and an interactive Gantt with critical-path highlight.
  • Smart Calendar — a project calendar that auto-populates from task due dates, milestones, and meetings, with role-based visibility and Markdown export.
  • Notifications — in-app and email alerts for assignments, mentions, due-soon and overdue tasks, and at-risk milestones.
  • Files — document and task attachments on private object storage with presigned downloads.
